ccounting & Administration Manager
This position is a founding member of the Malaysia subsidiary and plays a key role in supporting overall company operations, with a primary focus on accounting. The main responsibilities include monthly closing, cash flow management, reporting to the Japan headquarters, and handling Malaysian tax matters, as well as coordinating with external accounting firms, auditors, and banks.
As HR and payroll functions are outsourced, the role will mainly involve supporting and coordinating payroll processing, statutory contributions, employment contracts, and onboarding/offboarding procedures. In addition, the position will handle logistics and inventory coordination in collaboration with 3PL partners, as well as general administration such as office operations and SSM compliance, supporting the company’s operations in a small and growing organization.

1. Accounting & Administration Management (Main)
Oversee the full spectrum of accounting operations (GL, AP, AR) and cash flow
management. Manage external accounting firms to ensure timely monthly closing and
reporting to Japan HQ.
Ensure compliance with Malaysian tax regulations, specifically SST (Sales and Service
Tax), Corporate Tax, and withholding tax.
Liaise with external auditors, tax agents, and bankers.
Prepare budgets and variance analysis for the management team.

2. HR & Payroll Administration
Work with consulting agency to manage monthly payroll process, ensuring accurate
statutory contributions (EPF, SOCSO, EIS, PCB).
Draft employment contracts and employee handbooks in compliance with the Malaysian
Employment Act.
Manage employee onboarding/offboarding processes.
※Since these tasks are outsourced, the role will mainly focus on providing support.

3. Logistics & Supply Chain Coordination
Act as the key liaison with 3PL (Third-Party Logistics) partners and Forwarders.
(Ex, Coordination and supervision of logistics and inventory management)
Coordinate with the Store Manager to ensure timely stock delivery from the warehouse
to the store.

4. General Administration & Vendor Management
-Manage office setup and general office administration.
-Liaise with the Company Secretary to ensure compliance with SSM (Companies
Commission of Malaysia) requirements.
(ex, submitting statutory documents and reports etc)
-Manage contracts and relationships with various vendors (IT support, insurance,
facilities, etc.).
-Support the General Manager in ad-hoc projects related to the store opening.
